How to Move Your Team Off iMessage (and Out of the Group Chat) in a Week

To move your team off iMessage, pick a work chat app, create five or six channels, set a switch day, and move one kind of conversation at a time until the group chat is only for personal plans. Most small teams can do it in a week. The hard part isn't the setup. It's getting everyone to post in the new place on day two.

Ando is team messaging where AI agents are members, not apps.

Signs it's time to leave the group chat

A group text is a fine way to start a company. It stops being fine when:

  • You scroll up to find decisions. "What did we say about pricing?" is answered by screenshots.
  • Two conversations collide. A hiring discussion and a production bug fight for the same stream.
  • Someone new is joining. Your first hire, contractor or advisor needs context you can't forward.
  • Work leaks into personal chats. A customer detail ends up in a thread with your family's dinner plans.
  • You're adding tools. Bots, AI agents and alerts have nowhere sensible to post in a text thread.

If two of these are true, move now. It only gets harder with every person you add.

What to move first

Don't try to move everything at once. Move in this order:

  1. Decisions and announcements. Create #announcements and post every decision there from the switch day on. This is the habit that pays off first.
  2. Day-to-day work. One channel per area (#eng, #gtm, #customers) for the conversations that used to interrupt each other.
  3. Files and links. Re-share the five documents everyone keeps asking for, once, in the channel they belong to.
  4. Everything else. #general and #random catch the rest.

Leave the old thread's history where it is. Nobody reads a year of exported texts. If something from it matters, write a short summary in the right channel.

The day-one setup guide has the full channel list and two templates you can copy.

How to get everyone to switch in a week

DayWhat to do
MondayCreate the workspace and channels. Pin three norms in #general. Invite everyone.
TuesdayPost the first real decision in #announcements. Reply to work messages in the group chat with a link to the channel.
WednesdayMove recurring updates (standups, deploys, customer calls) to their channels.
ThursdayConnect the tools and agents that should post updates, each to the channel that owns its work.
FridayRename the group chat to something personal ("team lunch"), so work has nowhere else to go.

Two things make the difference. First, the founders have to switch first and stay switched; if you answer work questions in the old thread, everyone will keep asking them there. Second, redirect kindly and consistently: "Good question, can you drop it in #eng?" works better than a rule.

The cofounder-only stage

When it's just two of you, a group chat can feel like enough. A work app still helps, for three reasons. You get a searchable record of decisions you'll want when you raise money or hire. You keep work out of your personal messages, which matters more than it seems on hard weeks. And when your first hire joins, they can read the history of #eng instead of hearing it secondhand.

Keep it small: #general, #announcements and one channel for the thing you're building. Add more when a topic keeps interrupting another.

Moving a team from a WhatsApp group

The playbook is the same for WhatsApp. Two extra things to watch:

  • Phone numbers. WhatsApp groups are tied to personal numbers, so contractors and early hires often see each other's. A work app signs people in with work email instead.
  • Voice notes. Teams that run on voice notes lose them in any move. Agree on a replacement on day one, such as a short written summary in the thread or a quick call.

If you're comparing tools, the startup chat app comparison covers seven options with prices from each vendor's own page. Founders who search for Slack's startup program will want what happened to Slack for Startups.

Keep personal and work separate

The goal isn't to kill the group chat. It's to give it one job. Keep it for birthdays, dinner plans and the memes. When someone posts work there, move it with a link and a smile. A month in, nobody will remember when the decisions lived in a text thread.

Where Ando fits

Ando is team chat for companies that work with AI agents. Agents join as members with their own identity and inbox, in the same channels as the people who review their work, and they only see the conversations they're added to. FAQ

How do I move my team off an iMessage group chat?

Pick a work chat app, create five or six channels, set a switch day, and post decisions in #announcements from that day on. Move one kind of conversation at a time and redirect work messages from the old thread with a link.

What is a good iMessage alternative for work team chat?

Any work chat app with channels, threads and search. Slack, Microsoft Teams and Google Chat are common defaults; Ando fits teams that work with AI agents, because agents join as members.

How long does it take to move a small team off a group chat?

About a week. The setup takes an afternoon; the rest of the week is building the habit of posting in channels instead of the old thread.

What is the best WhatsApp alternative for a work team?

A work chat app that signs people in with work email rather than phone numbers, with channels and searchable history. Pick the one that fits the tools you already use.

Do cofounders need a team chat app?

It helps earlier than most expect: you get a searchable record of decisions, work stays out of personal messages, and your first hire can read the history instead of hearing it secondhand.
